Job Description

An electrical engineering company is seeking a temporary to permanent Executive Assistant in their Brooklyn office.



The Executive Assistant is responsible for providing professional and proficient support to the President and CEO of this fast-paced, global company.



Job Responsibilities:

  • Provide the highest level of secretarial and administrative support to the President/CEO
  • Understand & prioritize information prior to submitting to President/CEO
  • Schedule & coordinate meetings, teleconferences and events, making all required arrangements
  • Answer & screen phone calls, take dictation & type correspondence from dictation taken
  • Create and maintain Excel spreadsheets and PowerPoint slides
  • Conserve President /CEO's time by reading, researching and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
  • Manage the calendars to ensure their time is appropriately utilized
  • Communicate constantly with the President/CEO and ensure that they are prepared, organized, on schedule and ready for all meetings and events
  • Make all required arrangements for travel (domestic and international) including flight and lodging
  • Coordinate travel itineraries with local Sales Representatives for customer visits
  • Communicate directly with the staff members, department managers and engineers on behalf of the CEO or President, relaying their messages, intentions and defining deliverables
  • Provide historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions
  • Maintains customer/confidence and protects operations by keeping information confidential
  • Maintain excellent interpersonal relations with customers, sales reps, business associates and colleagues
  • Handle special projects as assigned by the President/CEO



Job Requirements:

  • A college graduate with at least 5+ years' related experience
  • A multi-tasker who can prioritize and manage several assignments simultaneously
  • A person with excellent verbal & written communication skills.
  • High proficiency in MS Outlook & Office (Word, Excel, PowerPoint & Access)
  • Proven ability to create flow charts using Excel
  • Skilled in fast long-hand or have the ability to take dictation
  • Someone who can handle & understand the details of situations/information that is highly confidential or of a critical nature and maintain discretion and professionalism at all times
  • A person who demonstrates maturity in dealing with conflict
  • A person with excellent follow-through skills on open or unresolved items
  • Ability to work overtime, if required
